Privacy policy

Effective 29 September 2026. Applies to www.kongresgospodarczy.com.pl and registrations for the Economic Congress of Business Women.

1. Controller

Write to that address for any personal-data request. No data protection officer has been appointed.

2. What we collect

The registration form sends your application through this website’s server to MailerLite, where we store your contact details, application and each consent separately, together with the consent notice version and form language. Applying does not itself constitute newsletter consent or trigger automatic emails. New contacts are stored as unconfirmed; applying does not change an existing contact’s subscription status. The separate newsletter form still opens a message in your email program for you to send to biuro@polishwomenchamber.pl.

• Congress registration: name, organisation, email, phone, type of participation, matchmaking answers, chosen Expo Centre, message, and the consents you tick.
• Newsletter: email address and consent.
• Correspondence: whatever you send to the Chamber.
• Technical data: the hosting provider may keep server logs (IP address, date, browser) needed to run and secure the site. The browser stores your language choice (localStorage, key bwi-lang); a technical session and its cookie protect form requests. We do not use Google Analytics, ad pixels, or marketing cookies.

Fonts load from Google Fonts, so your browser contacts Google when the page opens. Form contents are not sent there.

3. Why and on what basis

• handling your registration, participation and matchmaking — GDPR Art. 6(1)(b);
• documenting the event and defending claims — GDPR Art. 6(1)(f);
• legal duties, including accounting — GDPR Art. 6(1)(c);
• image use, newsletter, commercial email, and phone or SMS contact — only with consent, GDPR Art. 6(1)(a), Polish copyright law Art. 81, and the Electronic Communications Law Art. 398.

The Congress on 6 November 2026 at Butelkownia (Koneser, Ząbkowska Street, Warsaw) is photographed, filmed and streamed. A participant may appear as part of a wider scene.

4. Who receives the data

• providers who help run the Congress: hosting, email, streaming, photography — under processing agreements;
• MailerLite — to store contact details, the application and separate consent values for the Congress;
• participants or partners in Business Matchmaking Concierge — only if you consent;
• the ticket operator naffy.io when you buy a ticket. Payments do not pass through this website and follow the operator’s own rules.

We do not sell the participant list. For details of MailerLite’s data processing, including international transfers and safeguards, see MailerLite’s privacy policy.

5. How long we keep it

Registration data is kept for the organisation of the Congress and the limitation period for claims, or as long as the law requires. Consent-based data is kept until you withdraw consent. Hosting logs follow the host’s rules and are not kept longer than needed to secure the site.

6. Your rights

You may access, rectify, erase or restrict your data, receive a copy, and object to processing based on legitimate interest. Withdraw any consent at any time by writing to biuro@polishwomenchamber.pl. Withdrawal does not affect processing that was lawful before withdrawal.

You may lodge a complaint with the Polish Data Protection Authority (UODO), ul. Stawki 2, 00-193 Warsaw, uodo.gov.pl.

7. Do you have to provide data

Fields marked with an asterisk are voluntary, but we cannot accept a registration without them. Consents without an asterisk are voluntary and are not a condition of attending.
